About the Role
The successful candidate will provide administrative support to the workshop department and ensure the efficient processing of job cards from opening through to invoicing. The role requires regular communication with customers, workshop personnel, suppliers, and management while maintaining accurate records and documentation.
The Workshop Admin Clerk will play a key role in ensuring smooth daily workshop operations, timely customer service, and accurate administration of workshop transactions.
Minimum Requirements
To be considered for this position, applicants must meet the following requirements:
Education
- Grade 12 (Matric)
Experience
- Minimum of 6 months relevant administrative experience
Language Requirements
- Fluent in English and Afrikaans
Key Duties and Responsibilities
The successful candidate will be responsible for:
- Creating and processing workshop job cards
- Opening, updating, and closing job cards accurately
- Preparing pro-forma invoices for workshop services
- Creating purchase orders for external vendors linked to job cards
- Assisting with workshop invoicing processes
- Maintaining accurate workshop records and registers
- Updating the Job Card Register on a daily basis
- Processing daily bank deposits
- Ensuring all risk file (GMR) documentation is completed and signed
- Assisting with online warranty claim preparation when required
- Handling customer enquiries professionally
- Responding to queries regarding invoices and statements
- Communicating important information to the Workshop Manager and Working Foreman
- Building and maintaining positive relationships with customers and suppliers
