About the Opportunity

An exciting opportunity is available for qualified and detail-oriented professionals to join a Document Management team. The successful candidates will play a key role in ensuring that organisational records are properly created, stored, maintained, secured, and disposed of in accordance with approved records management policies and legislative requirements.

This role is ideal for graduates or professionals with qualifications in Records Management, Information Science, or Information Management who are looking to build a career in records administration and information governance.

Minimum Requirements

Applicants must possess:

  • National Diploma or Bachelor’s Degree in:
    • Records Management
    • Information Science
    • Information Management
  • Computer literacy (Microsoft Office Suite)
  • Excellent verbal and written communication skills
  • Good organisational and planning skills
  • Strong attention to detail
  • Ability to work independently and within a team
  • Ability to maintain confidentiality when handling sensitive information
  • Knowledge of electronic document management systems (EDMS) will be an added advantage.
  • Previous experience in records administration or document management will be beneficial but may not be mandatory.

Key Responsibilities

The successful candidates will be responsible for:

  • Creating, registering and maintaining official organisational records.
  • Managing both physical and electronic filing systems.
  • Capturing and indexing documents into document management systems.
  • Receiving, sorting and distributing official correspondence.
  • Scanning and digitising records for electronic storage.
  • Maintaining document registers and tracking file movements.
  • Retrieving archived records upon request.
  • Ensuring proper storage, retention and disposal of records.
  • Monitoring compliance with document management policies.
  • Maintaining confidentiality and security of organisational information.
  • Assisting departments with records management queries.
  • Performing quality checks to ensure document accuracy and completeness.
  • Preparing reports relating to document management activities.
  • Supporting audits by providing requested records and documentation.
  • Assisting with records migration and digitisation projects where required.
