Key Responsibilities

The successful candidate will provide comprehensive administrative support to the Regional Manager and Operations department.

Administrative Support

Responsibilities include:

  • Coordinate meetings as required.
  • Prepare meeting agendas.
  • Take accurate minutes during meetings.
  • Type, finalize and distribute minutes and correspondence.
  • Maintain the Regional Manager’s diary.
  • Manage and maintain the Regional Manager’s filing system.
  • Screen documentation and correspondence received by the Regional Manager.
  • Prioritize correspondence and obtain any additional information required.
  • Answer and screen calls directed to the Regional Manager.
  • Delegate correspondence and telephone calls to the appropriate individuals when necessary.

Travel and Operational Coordination

The administrator will also be responsible for:

  • Coordinating operational travel arrangements.
  • Booking accommodation for operational employees and management.
  • Assisting with operational scheduling and coordination.
  • Managing administrative requirements related to the Operations department.
  • Assisting with orders and CAPEX requirements.

Reporting and Records

Key recordkeeping and reporting duties include:

  • Compiling weekly operational reports.
  • Compiling monthly operational reports.
  • Maintaining crime statistics.
  • Maintaining accurate AR headcount information.
  • Processing and recording promotions.
  • Recording employee terminations.
  • Assisting with staff requisitions.
  • Ensuring operational records remain accurate and up to date.

Client Liaison and Complaints

The position also involves dealing with clients and assisting with complaints that reach the Regional Manager’s office.

Duties include:

  • Acting as a point of contact for client-related matters.
  • Receiving and investigating client complaints.
  • Assisting with the resolution of client complaints.
  • Ensuring complaints are resolved within prescribed timelines.
  • Providing clients with appropriate feedback where necessary.
  • Following up on recurring issues.
  • Helping ensure that identified problems do not occur again.
  • Drafting communications relating to company-initiated client cancellations for branches.

Human Resources and Operations Administration

The successful candidate will assist with various employee and operational administration matters, including:

  • Maintaining AR headcount records.
  • Processing information relating to promotions.
  • Recording terminations.
  • Assisting with staff requisitions.
  • Assisting management with excess leave matters.
  • Supporting Area Managers and Training Instructors with ad hoc administrative tasks.

Office and Compliance Responsibilities

Additional responsibilities include:

  • Ensuring the AR department and Regional Manager’s office remain clean and secure.
  • Acting as the EHS representative for the AR department.
  • Supporting compliance with relevant workplace procedures.
  • Handling confidential information appropriately.
  • Ensuring administrative processes are completed accurately and on time.
