About the Job

Mediclinic Medforum is looking for a reliable, organised and detail-oriented Scanner Operator to join its team in Arcadia, Pretoria.

The successful candidate will be responsible for preparing discharged patient records for scanning, scanning patient documentation to create digital copies, and performing daily cleaning and maintenance of two dedicated scanners.

This role is ideal for candidates with experience in healthcare administration, medical records or patient administration who are comfortable working with confidential information and following established administrative procedures.

Main Purpose of the Job

The main purpose of this position is to ensure that discharged patient records are properly prepared, scanned and converted into digital format.

The successful candidate will be responsible for:

  • Preparing complete discharged patient records for scanning.
  • Scanning patient documentation accurately.
  • Creating digital copies of patient records.
  • Ensuring records are properly organised before scanning.
  • Performing daily cleaning and basic maintenance of dedicated scanners.
  • Handling confidential patient information responsibly.
  • Following relevant healthcare administration policies and procedures.

Key Responsibility Areas

Collecting and Preparing Patient Records

  • Collect discharged patient records for scanning.
  • Prepare patient files and documentation for the scanning process.
  • Ensure records are complete and properly organised.
  • Handle patient records carefully and securely.
  • Follow established medical records procedures.

Scanning Patient Documentation

  • Scan patient documentation to create digital records.
  • Operate dedicated scanning equipment correctly.
  • Ensure documents are scanned accurately and clearly.
  • Follow required scanning processes and procedures.
  • Use relevant scanning software and systems.
  • Maintain patient confidentiality throughout the scanning process.

Cleaning and Maintaining Scanners

  • Perform daily cleaning of two dedicated scanners.
  • Carry out routine scanner maintenance as required.
  • Ensure scanning equipment is kept clean and operational.
  • Report equipment problems or technical issues when necessary.
  • Follow appropriate procedures when operating scanning equipment.

Minimum Education Requirements

Essential Education:

  • Grade 12 qualification.

Required Experience

Essential Minimum Experience:

  • At least 1 year of experience in an administrative role within a healthcare setting.

Desired Experience:

  • 2 years of experience in an administrative role within a healthcare setting will be advantageous.

Experience in medical records, patient administration, hospital administration, document management or a similar healthcare environment may be beneficial.
