About the Opportunity

An established luxury design studio, renowned for creating bespoke decorative light fittings for prestigious architecture, hospitality, commercial, and luxury residential projects around the world, is looking for a highly organised Client Service and Sales Administrator to join its growing team.

Working closely with the Founder and Creative Director, you will become the central point of communication between international clients, designers, production teams, logistics providers, and suppliers. This role combines customer service, sales support, project administration, logistics coordination, marketing assistance, and CRM management.

Key Responsibilities

Client Service

  • Deliver a premium customer experience to local and international clients.
  • Respond promptly to customer enquiries via email and telephone.
  • Build strong, long-term relationships with architects, designers, developers, and distributors.
  • Maintain regular communication throughout the customer journey.
  • Resolve customer queries professionally and efficiently.
  • Ensure clients receive timely project updates.

Sales Administration

  • Prepare accurate quotations for bespoke lighting projects.
  • Process customer orders.
  • Follow up on outstanding quotations.
  • Monitor sales opportunities from enquiry to completion.
  • Support business development initiatives.
  • Maintain detailed sales records.

Project Coordination

  • Liaise with workshop and production teams.
  • Monitor production timelines.
  • Coordinate project schedules.
  • Ensure deadlines are achieved.
  • Communicate manufacturing progress to clients.
  • Assist with production planning where required.

Logistics & Shipping

  • Arrange local and international deliveries.
  • Coordinate freight and courier services.
  • Prepare shipping documentation.
  • Track deliveries.
  • Update clients on shipment progress.
  • Ensure products arrive safely and on time.

Marketing Support

  • Assist with content planning.
  • Help manage Instagram, Pinterest, and LinkedIn accounts.
  • Support email marketing campaigns.
  • Maintain image libraries.
  • Update marketing databases.
  • Assist with customer newsletters.
  • Promote new product launches.

Administration

  • Update CRM systems.
  • Maintain customer databases.
  • Prepare weekly sales pipeline reports.
  • Generate business forecasts.

  • Assist with general office administration.

Minimum Requirements

Applicants should have:

  • Previous experience in Sales Administration, Customer Service, Office Administration, Logistics Coordination, or Project Administration.
