About the Position

The City of Ekurhuleni is seeking a highly organised and detail-oriented Admin Assistant: Filing to join its Finance Department. This permanent position is responsible for maintaining accurate salary administration records, supporting payroll administrators, managing filing systems, and ensuring compliance with municipal records management policies.

Purpose of the Role

The successful candidate will ensure that salary administration records are created, maintained, stored, and disposed of according to legislative and municipal requirements. The role also provides administrative support that contributes to the efficient operation of the Finance Department.

Key Responsibilities

  • Manage employee salary administration records throughout their entire lifecycle.
  • File, classify, organise, archive, retrieve, and store financial and payroll documentation.
  • Ensure records are maintained in accordance with municipal policies and legislative requirements.
  • Assist salary administrators with daily administrative and clerical duties.
  • Capture and maintain accurate employee records.
  • Respond to payroll and salary administration enquiries from employees and internal departments.
  • Process general office documentation efficiently and accurately.
  • Monitor compliance with governance, risk management, and records management procedures.
  • Support financial control measures aimed at preventing irregular, fruitless, and wasteful expenditure.
  • Maintain confidentiality of employee payroll information.
  • Provide professional customer service to internal and external stakeholders.
  • Assist with document audits and records verification when required.
  • Ensure filing systems remain accurate, updated, and easily accessible.

Minimum Requirements

Applicants must possess:

  • Grade 12 (Matric) or an equivalent NQF Level 4 qualification.
  • End User Computing Certificate.
  • 1–2 years’ experience in a financial, payroll, or administrative environment.

Added Advantage

  • Archive Certificate or Records Management qualification.
