About the Role
The Administration Assistant will support the Finance and Administration department by performing a wide range of financial and administrative duties. The successful candidate will assist with company secretarial administration, financial processing, SAP requisitions, debtor administration, CIPC submissions, record keeping, and general office support to ensure efficient business operations.
This role requires exceptional organizational skills, strong attention to detail, and the ability to work accurately under pressure while maintaining confidentiality.
Key Responsibilities
The successful candidate will be responsible for:
- Assisting with preparation of company secretarial documentation for subsidiary board meetings and Annual General Meetings (AGMs).
- Preparing documentation relating to company share transactions.
- Supporting deregistration and liquidation administration for companies.
- Assisting with the circulation and collation of Annual Financial Statements.
- Updating and maintaining the Company Secretarial (Cosec) database.
- Preparing documentation for CIPC submissions including:
- Company name changes
- Public officer changes
- Director appointments and resignations
- Other statutory submissions
- Maintaining company minute books and statutory records.
- Performing general administrative duties for Head Office and business operations.
- Processing requisitions and goods receipting using SAP.
- Sending supplier payments for processing.
- Performing Store Clerk duties when required.
- Contacting debtors to maintain the debtor’s book.
- Providing financial administrative support to the Finance Department.
- Assisting with various ad hoc administrative projects.

Minimum Requirements
Applicants should possess:
- Grade 12 (Matric).
- Higher Certificate in Bookkeeping or an equivalent qualification.
- Minimum of 2 years’ relevant administrative and financial experience.
- Previous clerical or finance administration experience.
- Good understanding of bookkeeping and financial processes up to Trial Balance.
- Excellent Microsoft Office skills.
- Good written and verbal English communication skills.
- Strong administrative and organizational abilities.
- SAP knowledge will be advantageous.
- Computer literacy.
- Excellent attention to detail.
- Ability to meet deadlines.
- Ability to work effectively under pressure.
