About the Role
The Legal Secretary (Magistrate Court) will provide administrative and secretarial support to the Legal Services Department while ensuring the smooth day-to-day functioning of the office. The successful candidate will assist attorneys with court documentation, legal administration, diary management, document control, and office coordination.

Key Responsibilities
Legal Secretarial Administration
- Prepare court statements and legal forms required by attorneys.
- Dictate and transcribe attorneys’ audio recordings and written notes.
- Proofread legal documents for accuracy and compliance.
- Index and update pleadings and discovery binders.
- Collect and deliver legal documents.
- Assist with legal research and communication with attorneys, experts, vendors, and stakeholders.
Office Administration and Management
- Manage correspondence, filing systems, and telephonic enquiries.
- Maintain confidentiality of all departmental matters.
- Follow up on outstanding legal matters.
- Ensure office requests are handled within agreed timelines.
- Monitor and manage stationery requirements.
Meeting and Diary Management
- Schedule meetings and appointments.
- Coordinate internal and external stakeholder engagements.
- Record meeting minutes and distribute them accordingly.
- Monitor action items and outstanding resolutions.
- Manage team calendars and diaries.
Document Control
- Maintain accurate and updated filing systems.
- Retrieve and manage information when required.
- Record incoming documentation and allocate file numbers.
- Ensure secure handling and confidentiality of all documents.
Quality Assurance and Compliance
- Maintain documentation and policies related to departmental activities.
- Ensure adherence to RAF policies, procedures, and internal controls.
- Support compliance with organisational governance standards.
Minimum Requirements
Qualifications
- National Diploma in Business Administration, Law, or a related qualification.
Experience
- Minimum of 2 years’ experience in a business administration or legal administration environment.
Required Skills and Competencies
Technical Skills
- Proficiency in Microsoft Word, Excel, PowerPoint, and related software.
- Knowledge of RAF systems and procedures.
- Strong English communication skills and proficiency in at least one additional official South African language.
