Job Overview

This role provides essential administrative and stock control support within a high-pressure cardiac ward environment. The successful candidate will ensure smooth coordination between clinical staff, suppliers, patients, and hospital administration while maintaining strict accuracy in billing and inventory control.

You will play a key role in supporting patient care delivery by ensuring that stock, documentation, and administrative processes are managed efficiently and in line with hospital standards.


Key Responsibilities

Administrative Support

  • Provide full administrative support to the Unit Manager and ward staff
  • Manage daily schedules, meetings, and ward communications
  • Maintain accurate patient records and documentation
  • Handle telephone and front-desk enquiries professionally
  • Coordinate visits from external representatives and suppliers

Stock Control & Management

  • Monitor, control, and reconcile ward stock levels
  • Manage consignment stock in collaboration with medical representatives
  • Ensure proper storage, tracking, and usage of surgical and high-value stock
  • Conduct regular stock checks and report discrepancies
  • Maintain accurate stock records aligned with hospital systems

Billing & Finance Support

  • Process patient billing accurately and timeously
  • Manage trauma billing and related administrative processes
  • Ensure correct capture of high-value items used in procedures
  • Support financial accuracy through proper documentation and reconciliation

General Ward Operations

  • Assist with procurement and ordering of supplies
  • Support compliance with hospital policies and ethical standards
  • Maintain confidentiality of patient and hospital information
  • Assist in ensuring smooth daily ward operations

Minimum Requirements

  • Grade 12 / Matric certificate
  • Minimum 2 years’ experience in administration or stock control (private hospital environment advantageous)
  • Strong computer literacy (MS Word, Excel, PowerPoint, Email)
  • Experience with hospital systems such as SAP or Impilo is an advantage
  • Strong attention to detail and accuracy in data handling
  • Customer service experience in a professional environment
