About the Role

The Receptionist will be responsible for managing front-office operations, coordinating site inductions, maintaining stationery and grocery inventories, supporting laundry administration, processing requisitions, providing hospitality services, and assisting various departments including Production, Procurement, Customer Service, Planning, and SHEQ.

This role plays a critical part in ensuring smooth daily operations while maintaining professional customer service and administrative excellence.

Minimum Requirements

Qualifications

  • Grade 12 (Matric)
  • Tertiary qualification in Administration will be advantageous

Experience

  • Minimum of 3 years’ experience in reception or administrative support
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience using ERP systems, particularly Microsoft Dynamics 365 (D365), will be advantageous

Key Responsibilities

Reception and Front Office Administration

  • Manage reception and front-desk operations
  • Welcome visitors, contractors, suppliers, drivers, and employees
  • Answer and direct telephone calls and emails professionally
  • Maintain visitor registers and site access records
  • Coordinate meeting room bookings and office administration
  • Facilitate site inductions for visitors, contractors, drivers, and new employees
  • Ensure all induction documentation is completed and filed correctly
  • Communicate site safety and compliance requirements

Stationery and Inventory Management

  • Issue and receive stationery items
  • Maintain accurate stock records
  • Monitor inventory levels and arrange replenishment
  • Conduct regular stock counts and report shortages

Grocery Stock Control

  • Manage grocery inventory for the site
  • Maintain stock records and storage standards
  • Monitor stock levels and coordinate replenishment
  • Assist with stock reconciliations and reporting

Laundry Administration

  • Coordinate laundry services for Production team overalls
  • Manage collection and distribution schedules
  • Maintain garment allocation records
  • Liaise with service providers to ensure timely service delivery

Production and System Support

  • Assist Production teams with requisition creation and processing on Microsoft Dynamics 365
  • Ensure requisition information is accurate and submitted on time
  • Follow up on approvals and provide administrative support as required

Compliance Administration

  • Capture findings from isometric reports
  • Update compliance records accurately
  • Maintain inspection and compliance documentation
  • Support adherence to SHEQ standards and procedures

Business Support

  • Provide administrative assistance to Customer Service Consultants
  • Support Procurement with documentation and filing
  • Assist SHEQ and Planning teams with administrative requirements
  • Perform additional administrative duties as required

Boardroom and Hospitality Support

  • Prepare and serve refreshments for meetings and visitors
  • Ensure boardrooms are clean and meeting-ready
  • Monitor and replenish kitchen and hospitality supplies
