Receptionist Job Description
The successful candidate will handle a wide range of administrative and front-desk duties, including switchboard management, client interaction, filing, purchasing, and sales support coordination.
Key Responsibilities
1. Reception and Switchboard Duties
- Answer and direct incoming calls to the correct department
- Welcome and assist walk-in clients professionally
- Take messages when staff are unavailable
- Ensure smooth front-office communication flow
2. Administrative Support
- Handle incoming correspondence and documentation
- Manage fax distribution and internal communication routing
- Maintain organized filing systems sorted by debtor codes
- Prepare and maintain branch records and documentation

3. Purchasing and Office Supplies Management
- Order stationery and office supplies from head office or local suppliers
- Request and manage grocery supplies (tea, coffee, milk, etc.)
- Obtain supplier quotations when required
- Create requisitions and process purchase orders
- Match invoices with purchase orders and ensure proper documentation flow
4. Filing and Record Keeping
- Prepare and maintain individual and branch files
- Ensure proper documentation storage and alphabetical filing systems
- Maintain accurate and updated records for auditing purposes
5. Finance and Banking Duties
- Assist with daily banking procedures
- Capture and post banking records on internal systems
- Support basic financial administration tasks
6. Sales and Lead Administration
- Capture incoming sales leads from calls and walk-ins
- Update lead information on internal systems (Listener and Q-Drive)
- Distribute leads to sales consultants
- Prepare daily sales activity reports
- Support telesales and follow-up processes
7. Client Service and General Duties
- Assist clients with queries and escalate issues to head office when required
- Support general office administration tasks as needed
Requirements for Receptionist Position

- Grade 12 / Matric qualification
- Previous experience in reception or administrative roles (advantageous)
