Payroll Administrator Job Description

The Payroll Administrator will handle payroll processing, reconciliation, verification, and reporting functions across the business. The role requires high attention to detail, strong payroll knowledge, and the ability to work with confidential employee information.

The candidate will work closely with HR, Operations teams, and the Head Office Payroll division to ensure efficient payroll operations and compliance with statutory regulations.


Key Responsibilities

Payroll Administration

  • Process full payroll functions accurately and efficiently
  • Verify and reconcile payroll information
  • Ensure payroll compliance with legislation and company policies
  • Process salaries and wages within required deadlines
  • Maintain payroll records and employee information

Payroll Reconciliation & Reporting

  • Perform payroll reconciliations and variance analysis
  • Reconcile National Bargaining Council leave balances with Sage300 People
  • Prepare detailed salary analysis reports for each pay cycle
  • Investigate and explain salary variances between payroll periods

Compliance & Audit Support

  • Ensure compliance with labour legislation and statutory requirements
  • Assist with internal and external payroll audits
  • Support payroll reporting and audit preparation
  • Maintain accurate payroll documentation and records

Team & Operational Support

  • Provide support to the Payroll Supervisor
  • Assist with payroll-related queries from employees and management
  • Handle additional payroll administration tasks as required


Minimum Requirements

Qualifications

  • Grade 12 / Matric
  • Payroll, Bookkeeping, Accountancy Certificate or Diploma
  • Higher Certificate qualification advantageous

Experience

  • Minimum 5 years’ experience in a similar payroll role
  • At least 3 years’ experience using SAGE300 People
  • Experience with payroll legislation and payroll systems
  • Exposure to Road Freight Industry Bargaining Council agreements is beneficial
  • Africa payroll experience is advantageous

Required Skills and Competencies

  • Strong payroll administration knowledge
  • Excellent computer literacy and payroll systems skills
  • Working knowledge of South African labour legislation
  • Knowledge of PAYE, UIF, statutory deductions, and tax compliance
  • Strong reconciliation and analytical abilities
  • Ability to work independently and within a team
  • Excellent attention to detail
  • Strong organisational and time-management skills
  • Ability to coordinate payroll information from multiple regions
