ABOUT THE JOB

Mediclinic Potchefstroom is seeking a suitably qualified and organised Patient Scheduling Clerk to join its hospital team. The successful candidate will play an important administrative role in ensuring that theatre cases are scheduled accurately and efficiently.

The position involves coordinating theatre bookings, maintaining accurate scheduling information, distributing theatre lists, loading patient bookings, and assisting with the allocation of wards. The role contributes to the smooth operation of hospital theatres and supports the effective utilisation of available theatre time and hospital beds.

This opportunity may suit candidates with a Grade 12 qualification who are computer literate and interested in building or advancing their administrative career within the private healthcare sector.

MAIN PURPOSE OF THE JOB

The primary purpose of the Patient Scheduling Clerk position is to ensure that all theatre cases are scheduled correctly and efficiently.

The successful candidate will help:

  • Reduce operational and financial risks associated with incorrect scheduling.
  • Ensure effective utilisation of available theatre resources.
  • Support accurate patient booking processes.
  • Coordinate theatre scheduling information with relevant hospital departments.
  • Assist with the effective allocation of available hospital beds and wards.
  • Ensure theatre lists are communicated to the relevant parties on time.

KEY RESPONSIBILITIES

Theatre Scheduling

  • Schedule theatre cases accurately according to hospital requirements.
  • Assist with the effective utilisation of available theatre time.
  • Allocate appropriate theatre time for patients and bookings.
  • Ensure scheduling information is captured and maintained accurately.
  • Transfer theatre schedule information to the relevant systems and stakeholders.

Patient Administration

  • Load all patient bookings and theatre cases onto the relevant patient administration systems.
  • Ensure patient and booking information is captured accurately.
  • Assist with the allocation of wards based on available bed capacity and ward requirements.
  • Support efficient coordination between patient bookings, theatres and wards.
  • Follow established hospital policies and procedures when handling patient administration information.

Theatre List Administration

  • Prepare and distribute theatre lists timeously.
  • Ensure relevant parties receive updated theatre scheduling information.
  • Follow the requirements outlined in the Patient Administration Manual.
  • Communicate changes to theatre schedules where required.
  • Maintain accurate records relating to theatre bookings and scheduling.

EDUCATION REQUIREMENTS

Essential

  • Grade 12 or equivalent qualification.

Desired

EXPERIENCE REQUIREMENTS

Essential

  • Experience working with computers.

Advantageous Experience

Candidates with any of the following experience may have an advantage:

  • Theatre scheduling experience.
  • ICU scheduling experience.
  • Experience working in a private healthcare environment.
  • Experience using the AS400 system.
  • Experience with ICD coding.
  • Experience with CPT coding.
  • Previous patient administration experience.
  • Experience working with hospital booking or scheduling systems.

REQUIRED SKILLS AND KNOWLEDGE

The ideal candidate should have knowledge or skills in the following areas:

  • Computer literacy.
  • Microsoft Office applications.
  • Patient administration programmes, including AS400.
  • Theatre scheduling and theatre time allocation.
  • Patient booking administration.
  • Transfer and management of theatre schedule information.
  • Basic anatomy knowledge.
  • Medical terminology.
  • Clinical coding up to Level 1.
  • Ability to identify the appropriate code that best describes a procedure performed.
  • Accurate data capturing and record keeping.
  • Administrative processes within a healthcare environment.
