Position Overview

The Professional Assistant serves as the trusted executive support partner to the KwaZulu-Natal Regional General Manager. The role involves managing executive priorities, coordinating business activities, handling confidential information, organising meetings and travel, preparing reports and presentations, and ensuring operational excellence across the regional office.

This is more than a traditional administrative role—it requires someone who can anticipate business needs, solve problems independently, coordinate multiple stakeholders, and support executive decision-making.

Key Responsibilities

The successful candidate will be responsible for:

  • Managing the Regional General Manager’s complex diary and daily schedule.
  • Coordinating appointments, executive meetings, and leadership calendars.
  • Monitoring and managing executive email correspondence.
  • Scheduling meetings with internal and external stakeholders.
  • Preparing board-quality presentations using Microsoft PowerPoint.
  • Producing professional reports and executive documentation.
  • Compiling meeting packs and supporting governance processes.
  • Recording accurate meeting minutes and tracking action items.
  • Following up on outstanding executive decisions and deadlines.
  • Coordinating conferences, roadshows, workshops, and corporate events.
  • Managing travel bookings, accommodation, transport, and itineraries.
  • Preparing meeting venues and technology requirements.
  • Assisting visitors and external guests during meetings.
  • Performing office administration and document management.
  • Managing filing systems and digital records.
  • Typing letters and official business correspondence.
  • Processing invoices and reimbursements.
  • Managing monthly expenses, accruals, and budgets.
  • Completing corporate credit card reconciliations.
  • Ordering office stationery and supplies.

  • Providing confidential personal support to the Regional General Manager.

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric).
  • A Business Administration, Office Management, or related qualification (advantageous).
  • Minimum 8–10 years’ experience as an Executive Assistant, Professional Assistant, or senior administrative professional.
  • Proven experience supporting senior executives.
  • Advanced Microsoft Outlook, Word, Excel, and PowerPoint skills.
  • Strong report-writing and presentation preparation skills.
  • Experience managing executive calendars and travel.
  • Budget administration and expense management experience.
  • Office coordination experience.
  • Valid South African driver’s licence.
  • Own reliable transport.
