Position Summary

The Clinics Administrator is responsible for providing comprehensive administrative support to onsite clinic operations while assisting nurses and other healthcare professionals. The role requires excellent organisational abilities, attention to detail, and a strong commitment to patient confidentiality and customer service.

The successful candidate will help ensure that clinics operate efficiently during agreed operating hours while maintaining compliance with healthcare regulations and company standards.

Key Responsibilities

Your duties may include:

  • Managing patient bookings and appointment scheduling.
  • Confirming appointments and minimising patient waiting times.
  • Registering patients and maintaining accurate patient information.
  • Creating, updating, filing and securely storing confidential medical records.
  • Ensuring medical files are easily accessible when required.
  • Greeting patients and managing reception and waiting areas.
  • Providing professional assistance to patients, visitors and healthcare staff.
  • Answering telephone calls and responding to email enquiries.
  • Coordinating communication between patients, nurses, doctors and external service providers.
  • Processing clinic documentation and administrative records.
  • Preparing daily, weekly and monthly operational reports.
  • Capturing data accurately on healthcare systems.
  • Monitoring clinic stock levels, consumables and medical supplies.
  • Ordering office stationery and clinic supplies.
  • Maintaining inventory records and stock registers.
  • Coordinating maintenance, servicing and calibration of medical equipment.
  • Arranging repairs when equipment faults occur.
  • Ensuring proper collection and disposal of medical waste.
  • Assisting with occupational health administration.
  • Supporting case management and return-to-work programmes.
  • Maintaining compliance with health and safety legislation and clinic policies.
  • Assisting management with general administrative tasks.

Minimum Requirements

To qualify, applicants should have:

  • Grade 12 (Matric) or Senior Certificate.
  • At least 1 year’s experience in an administrative role.
  • Good computer literacy.
  • Strong working knowledge of Microsoft Office (Word, Excel, Outlook and PowerPoint).
  • Excellent verbal and written communication skills.
  • Good organisational and multitasking abilities.
  • Ability to maintain confidentiality when handling sensitive medical information.

Advantageous Experience

Although not compulsory, the following will strengthen your application:

  • Previous experience working in a clinic, hospital or medical practice.
  • Experience using healthcare administration systems.
  • Knowledge of medical terminology.
  • Occupational Health or Primary Healthcare administration experience.
  • Customer service or reception experience.
  • Stock and inventory management experience.
