Reporting directly to the Financial Manager, you will oversee reception functions, coordinate office administration, manage visitors, and ensure the smooth operation of front-office activities.

What You’ll Do

Reception & Client Services

  • Welcome visitors and create a professional first impression
  • Maintain a neat and organized reception area
  • Ensure brochures and marketing materials remain updated
  • Serve refreshments to clients and guests

Switchboard Management

  • Handle incoming calls efficiently
  • Screen and direct calls to relevant departments
  • Manage visitor access and contractor arrivals

Boardroom & Facilities Coordination

  • Manage meeting room bookings
  • Ensure boardrooms are prepared before meetings
  • Coordinate office maintenance and facility requirements

Inventory & Office Administration

  • Monitor stationery and office supply levels
  • Place monthly stock orders
  • Maintain inventory records

Courier & Logistics Coordination

  • Manage incoming and outgoing courier deliveries
  • Track parcels and maintain delivery records

Cleaning Team Supervision

  • Monitor attendance and daily performance of cleaning staff
  • Ensure office cleanliness standards are maintained

Administrative Support

  • Assist the finance department with administrative duties
  • Provide support to the Financial Manager when required

Minimum Requirements

Education

  • Grade 12 / Matric
  • Relevant tertiary qualification

Experience

  • Minimum 3 years’ corporate reception experience
  • Previous switchboard management experience
  • Experience within financial services or professional corporate environments preferred
