Purpose of the Role
The Secretary will be responsible for providing executive-level administrative support, ensuring that the Regional Sales Manager’s office operates efficiently. The role requires excellent planning, organizational, and communication skills while maintaining confidentiality and professionalism.
Main Responsibilities
The successful applicant will:
- Manage the annual business calendar for the department.
- Coordinate and maintain executive diaries and daily schedules.
- Arrange meetings, appointments, and conference bookings.
- Prepare presentations using Microsoft PowerPoint.
- Compile management reports using advanced Microsoft Excel.
- Draft professional correspondence including letters, reports, agendas, and internal memorandums.
- Maintain accurate electronic and physical filing systems.
- Organize departmental strategic planning calendars.
- Coordinate travel bookings, flights, accommodation, transport, and venues.
- Organize district meetings, workshops, conferences, and events.
- Manage contact databases and stakeholder communication.
- Ensure meeting packs and supporting documents are distributed before meetings.
- Process procurement requests according to company policies.
- Build and maintain positive relationships with suppliers, customers, and internal stakeholders.
- Follow up on outstanding actions and important deadlines.
Minimum Requirements
Applicants should possess:
- A relevant qualification or degree (advantageous).
- Minimum 5 years’ experience supporting senior or executive management.
- Advanced Microsoft Office skills.
- Advanced Microsoft Excel reporting skills.
