Working Hours: Monday to Friday: 07:30 – 17:30 | Saturday: 08:00 – 13:00
About the Role
As the first point of contact for customers, the Automotive Workshop Administrator will be responsible for maintaining excellent customer relationships while supporting workshop operations through efficient administrative processes. This position bridges customer service and technical administration, ensuring workshop efficiency and customer satisfaction.
Key Responsibilities
Customer Service and Reception
- Welcome and assist customers professionally.
- Manage incoming phone calls and email enquiries.
- Schedule and coordinate vehicle service bookings.
- Maintain an organised workshop calendar.
Workshop Administration
- Open, update, and close workshop job cards accurately.
- Capture customer requirements and technician notes.
- Ensure all service documentation is properly maintained.

Quotations and Invoicing
- Prepare customer quotations and service estimates.
- Generate accurate invoices for completed work.
- Assist with monitoring supplier accounts and payments.
Parts and Inventory Coordination
- Order automotive parts from suppliers.
- Track deliveries and confirm receipt of parts.
- Support stock control and inventory management.
Customer Communication
- Provide customers with vehicle repair and service updates.
- Handle customer queries professionally and efficiently.
- Ensure a positive customer experience throughout the service process.
Record Keeping and Compliance
- Maintain organised digital and physical filing systems.
- Manage workshop records and stock documentation.
- Ensure administrative compliance with company procedures.
Minimum Requirements
To be considered for this position, applicants must meet the following requirements:
- Grade 12 (Matric).
- Proven administrative experience in a professional office environment.
- Strong numerical skills for quotations, invoicing, and calculations.
- Excellent verbal and written English communication skills.
- Strong organisational abilities and attention to detail.
- Ability to work accurately under pressure.
Preferred Qualifications and Experience
The following will be advantageous:
- Previous experience in an automotive workshop, dealership, or vehicle service centre.
- Valid driver’s licence.
- Experience dealing with automotive parts suppliers and workshop systems.
