About the Role
The Administrator: Vehicle Invoicing and Licensing plays a critical role in ensuring accurate vehicle invoicing, registration, documentation control, and financial reconciliation within the dealership environment.
This position supports the smooth processing of vehicle sales transactions, compliance documentation, stock management, and debtor account follow-ups.

Key Responsibilities
Vehicle Administration & Invoicing
- Receive and verify signed vehicle deal files from Sales Managers
- Ensure all required documentation is complete (OTP, ID copies, trade-in documents, cost sheets, etc.)
- Invoice vehicles accurately according to OTP, including sundries
- Process credit notes, sundry invoices, and related financial entries
Registration & Licensing
- Complete vehicle change of ownership processes
- Register vehicles and warranties accurately
- Ensure all licensing documentation is correctly processed
Stock & Data Management
- Capture trade-in vehicles into stock system and stock book
- Update vehicle movements (inbound and outbound) on system and records
- Maintain accurate stock sheets and sales journals
Financial & Debtor Control
- Capture EFT payments and receipts on Kerridge system
- Follow up on outstanding vehicle debtor accounts
- Handle debtor queries and resolve payment issues
- Assist with month-end reconciliations and reporting
Reporting & Compliance
- Ensure sales journal agrees with Dealer Operating Control (DOC)
- Print and submit month-end reports to accountants
- Conduct stock takes when required
- Manage fleet claims and related documentation
Minimum Requirements
- Grade 12 / NQF Level 4 qualification
- Minimum 3 years’ VSB Clerk experience in the motor industry (preferably trucks)
- Mercedes-Benz truck dealership experience advantageous
- Strong computer literacy (MS Excel & MS Word essential)
- Knowledge of Kerridge system preferred
- Clear criminal record
