Job Overview
takealot.com, South Africa’s leading e-commerce retailer, is seeking a highly organized and detail-oriented Administration Controller to join its Distribution Centre (DC) operations in Cape Town. This role is ideal for candidates with experience in finance administration, procurement, supply chain support, and warehouse operations.
Reporting directly to the DC Finance and Admin Manager, the successful candidate will play a key role in managing financial administration, supplier coordination, procurement activities, workforce administration, and operational reporting within the Distribution Centre.

Key Responsibilities
Finance & Administration Support
- Monitor and maintain Distribution Centre operational staffing requirements.
- Work closely with the finance team to track and control DC-related expenses.
- Capture and process invoices for consumables, stationery, uniforms, labour, and ad-hoc purchases.
- Reconcile purchase orders and process month-end accruals.
- Liaise with suppliers and finance teams regarding payments, remittances, and account queries.
- Assist with budget preparation, annual budgeting, and long-term financial planning.
- Prepare month-end expenditure reports and financial summaries.
Supplier & Procurement Management
- Source suppliers when required and obtain competitive quotations.
- Manage supplier statements and ensure all invoices are accurately captured.
- Create purchase orders and monitor supplier payments.
- Participate in RFQ and RFP sourcing processes.
- Compile monthly and quarterly forecasts for suppliers.
- Monitor stock levels of packaging materials and consumables.
- Track supplier performance and maintain supplier scorecards.
- Report on supplier spend, usage trends, and procurement insights.

Distribution Centre Administration
- Manage employee attendance records and workforce reporting.
- Validate employee onboarding and termination data within systems.
- Ensure payroll documentation and timesheets are submitted accurately and on time.
- Maintain office administration processes and support smooth daily operations.
- Oversee office access control records and employee security access.
- Coordinate employee uniform orders and PPE quality control.
- Promote workplace organization through 5S principles.
Reporting & Operational Support
- Maintain management dashboards and operational reports.
- Assist with month-end financial reporting and journal processing.
- Analyze general ledger accounts where required.
- Capture weekly ad-hoc invoices and expenditure records.
- Support packaging and consumables teams to improve operational efficiency.
Minimum Requirements
Qualifications
- Diploma or Degree in:
- Finance
- Accounting
- Business Administration
- Supply Chain Management
- Or a related field
Experience
- Minimum 2 years’ experience within:
- Distribution Centre Administration
- Warehouse Administration
- Supply Chain Operations
- Logistics Administration
Technical Skills
Experience with:
- Invoice processing
- Purchase order management
- Financial reconciliations
- Procurement administration
- Supplier management
- Budget support
- ERP or financial systems (SAP, Sage, Navision, or similar)
- Inventory and consumables reporting
