Job Purpose
The Administration Clerk will effectively manage administrative activities within the supply chain department, ensuring smooth operational support for logistics, procurement, finance, suppliers, and inventory processes. The role helps reduce administrative workload for management while ensuring accurate reporting, compliance, and record-keeping.
Key Responsibilities
- Raise purchase orders (POs)
- Process GRVs for stores and laboratory purchases
- Perform 3-way invoice matching for finance
- Liaise with suppliers and creditors regarding accounts
- Track and report open purchase orders
- Monitor site returns and supplier credits
- Support stock takes and audit activities
- Work with procurement regarding pricing, packaging, and ingredients
- Update monthly costing files for finance and management
- Manage vendor creation processes
- Operate SACO system when required
- Maintain delivery notes, invoices, and supply chain documentation
- Update supplier performance and OTIF reports
- Log and monitor supplier NCRs
- Source quotations for projects and capital expenditure
- Upload invoices for payment processing
- Follow up on supplier credit notes
- Assist with annual financial audits
- Support staff with basic Oracle-related issues
- Maintain filing systems and financial records
- Ensure adherence to financial SOPs
- Generate weekly and monthly Oracle reports
