Job Purpose

The Document Management Admin Intern will provide effective and efficient administrative and operational support to the manager and department.

The role involves document processing, capturing policy information, handling administrative tasks, supporting client queries and maintaining accurate documentation and records.

Key Responsibilities

Document Management and Administration

  • Categorise documentation according to departments and functions.
  • Reconcile received documentation against documents sorted, captured and prepared each day.
  • Route source documents with the correct patch sheets to Document Sorters after entry.
  • Ensure barcodes and printouts are accurate.
  • Collate, compile and distribute documents and reports according to required standards and timeframes.
  • Accurately capture client policy information on relevant systems.
  • Ensure policy patch sheets correspond correctly with documents.
  • Forward incorrectly matched documents to Document Sorting Clerks with details of the error.
  • Escalate queries and housekeeping issues to the appropriate service department.
  • Follow up to ensure queries are resolved within required timeframes.
  • Perform general administrative duties.

Client Services

  • Support the coordination, escalation and resolution of client queries.
  • Follow up with relevant departments regarding outstanding client matters.
  • Handle general and inbound agent and client queries and correspondence.
  • Build and maintain effective relationships with clients and internal and external stakeholders.
  • Contribute to a culture focused on exceptional client service and effective feedback.

Minimum Requirements

Applicants should have:

  • Matric / Grade 12.
  • A relevant 1-year post-matric qualification.
  • 0–1 years of administrative experience.
  • An understanding of different Metropolitan policy numbers and documentation.
  • Knowledge and understanding of the long-term insurance industry.
  • Knowledge of relevant in-house systems.
