Main Purpose of the Role

The Customer Engagement Administrator serves as the first point of contact for employees requiring HR and payroll assistance. The successful candidate will provide accurate information, resolve employee enquiries, verify HR documentation, process payroll-related requests, and ensure that all services are delivered professionally and within agreed service levels.

Key Responsibilities

Customer Service

  • Deliver outstanding customer service through the Walk-In Centre and Contact Centre.
  • Handle employee, management, HR, and former employee enquiries.
  • Build positive relationships with customers through professional communication.
  • Help employees use HR self-service systems effectively.
  • Educate employees about available HR and payroll services.
  • Ensure customer expectations are managed professionally.

HR Administration

  • Receive and verify HR documentation.
  • Validate payroll forms before processing.
  • Check documentation for accuracy and compliance.
  • Submit approved documentation for processing.
  • Scan and archive payroll documents.
  • Maintain accurate employee records.

Payroll Support

  • Process payroll-related requests.
  • Reprint payslips and payroll documents.
  • Print and distribute monthly salary statements.
  • Verify payroll information before submission.
  • Escalate payroll issues where necessary.

Employee Query Resolution

  • Record all employee queries accurately.
  • Investigate and resolve first-line HR and payroll issues.
  • Escalate complex matters to specialist teams.
  • Monitor outstanding cases until resolution.
  • Provide feedback to employees within service level agreements.

Recruitment and Onboarding Support

  • Assist with employment documentation.
  • Coordinate pre-employment medical examinations.
  • Contact successful candidates regarding starting dates.
  • Arrange induction logistics.
  • Assist employees with employment contracts and onboarding documentation.
  • Coordinate company asset allocation for new employees.

Employee Exit Administration

  • Process employee termination documentation.
  • Coordinate exit paperwork with HR.
  • Verify completed documentation.
  • Submit termination documents for processing.
  • Provide guidance on exit procedures where required.

Probation Administration

  • Prepare permanent appointment letters.
  • Coordinate documentation with HR Business Partners.
  • Ensure appointment records are processed correctly.

Stakeholder Management

  • Work closely with HR teams.
  • Build relationships with Payroll and Employee Data Management teams.
  • Ensure smooth workflow between departments.
  • Support service improvement initiatives.
  • Maintain compliance with company policies and procedures.

Minimum Requirements

Qualifications

  • Grade 12 (Matric).
  • HR or Payroll qualification.
  • Recognition of Prior Learning (RPL) will be considered.

Experience

  • 2–4 years’ experience in HR, Payroll, or Employee Services.
  • Experience working in a customer service environment.
  • Experience using HR administration systems.

Technical Knowledge

  • SAP 409.
  • SAP Fusion.
  • HR query management systems.
  • Microsoft Office applications.
