Gfleet is inviting applications for an Admin Clerk – Accidents and Traffic Fines position within its Transport Support Services Directorate. This opportunity is suitable for a candidate with a Grade 12 / Matric qualification who is interested in administrative work involving accident records, third-party claims, traffic fines, fleet systems and vehicle-related documentation.
No previous experience is required, making this vacancy a potential opportunity for suitably qualified entry-level candidates with strong administrative, communication and organisational abilities.
Minimum Requirements

Candidates should be organised, detail-oriented and able to handle administrative records and documentation accurately. The role also requires the ability to communicate with internal departments, external stakeholders and relevant authorities.
Key Duties and Responsibilities
The successful candidate will be responsible for providing administrative support relating to vehicle accidents, third-party claims, traffic fines, recoveries and e-tags.
Accident Report Management
Duties will include:
- Receiving and sorting accident-related documentation
- Recording incoming and outgoing documentation in the appropriate control register
- Checking whether documentation relates to an existing matter or a new matter
- Distributing accident reports to the relevant responsible officials
- Inspecting documentation to ensure that it is complete and meets the required standards
- Maintaining accurate records of accident-related matters
- Following up on documentation where information is outstanding
Third-Party Claims
The successful candidate will assist with the administration of third-party claims by:
- Receiving letters of demand relating to third-party claims
- Soliciting legal opinions on claims received where necessary
- Preparing submissions for approval by the CEO
- Ensuring approved submissions are forwarded to Finance for payment processing
- Communicating with claimants when claims have been repudiated
- Ensuring summons received are immediately referred to Legal Services
- Instructing Finance to issue debt claims against applicable client departments where required
- Maintaining accurate records relating to claims and related correspondence
HQ Numbers and Recoveries for Non-Compliance
Responsibilities will include:
- Recording incidents in the relevant control register
- Issuing HQ numbers
- Capturing information on the Fleet Information System (FIS)
- Capturing information on the accident schedule
- Receiving repair cost information for vehicles repaired without an accident report
- Communicating with relevant client departments regarding outstanding documentation
- Following up on missing information within the required timeframe
- Preparing submissions for recovery where departments fail to comply with documentation requirements
Traffic Fine Administration
The position will also be responsible for assisting with the rerouting and administration of traffic fines.
Duties include:
- Sorting and registering traffic fines received
- Identifying the responsible department through the Fleet Information System (FIS)
- Identifying the responsible driver through the vehicle tracking system
- Completing AARTO 07 forms using the details of the responsible driver
- Rerouting traffic fines to the appropriate responsible driver
- Liaising with traffic fine issuing authorities
- Communicating with municipalities and the Road Traffic Infringement Agency (RTIA)
- Maintaining regular follow-ups with relevant authorities regarding traffic fines
E-Tag Administration
The successful candidate will also assist with e-tag administration by:
- De-installing e-tags from vehicles withdrawn from service
- De-installing e-tags from in-service vehicles that are still with clients
- Preparing spreadsheets containing details of de-installed e-tags
