Purpose of the Role

The Team Assistant will provide comprehensive administrative and logistical support to Production Area Managers and Foremen, ensuring the smooth operation of production activities. The successful candidate will coordinate meetings, maintain production records, manage office administration, support audits, and assist with procurement and operational documentation.

Key Responsibilities

  • Provide daily administrative support to Production Area Managers and Foremen.
  • Schedule meetings, prepare agendas, record minutes, and monitor action items.
  • Manage diaries and coordinate departmental activities.
  • Administer production overtime documentation and approval processes.
  • Maintain production folders and records in both electronic and physical formats.
  • Prepare reports, presentations, registers, and operational documentation.
  • Support Risk-Based Inspection (RBI), holistic assessments, and third-party audits.
  • Coordinate travel, accommodation, meetings, and departmental events.
  • Manage stationery, PPE requests, inventory, and office supplies.
  • Process purchase requisitions (PRs), invoices, and payment tracking.
  • Liaise with contractors, service providers, and internal departments.
  • Ensure documentation complies with company, audit, and governance standards.
  • Support IT and operational administrative requests.
  • Provide administrative relief support during staff leave or busy periods.
  • Promote safety, compliance, and quality across all administrative functions.

Minimum Requirements

  • Grade 12 (Matric).
  • Administration, business, or technical qualification (advantageous).
  • 3–5 years of administration experience.
  • Experience in maintenance, engineering, petrochemical, or industrial environments.
  • Experience supporting audits is advantageous.
  • Strong Microsoft Office skills.
  • SAP or other ERP system experience is beneficial.
  • Excellent communication and organisational skills.
  • Strong attention to detail.
  • Ability to multitask in a fast-paced environment.
