Job Summary
An opportunity exists for an Administration Clerk (Retail) in Winterton. The successful candidate will be responsible for supporting branch administrative operations, ensuring accurate stock control, documentation processing, reporting, and effective communication with internal and external stakeholders.
This position plays a key role in maintaining operational efficiency within the branch environment.
Minimum Requirements
- Grade 12 (Matric)
- Minimum of 1 year administration experience
- Computer literacy (MS Office essential)
- Strong verbal and written communication skills
Key Responsibilities
Stock & Receiving Administration
- Receive and compare stock against delivery notes
- File delivery notes and assist with receiving duties
- Ensure correct document sequencing on the system
- Verify codes, pricing, and stock accuracy against orders

Invoice & Claims Processing
- Collect and process electronic invoices
- Link invoices with delivery notes and purchase orders
- Capture and manage claims (damaged goods, shortages, expired stock, warranties)
- Resolve discrepancies with suppliers
Reporting & Stock Control
- Generate daily, weekly, and monthly system reports
- Prepare outstanding claims, purchase orders, and stock reports
- Assist with quarterly stock takes
- Capture stock count sheets and process variance reports
Cash & Financial Administration
- Perform daily cash-ups
- Monitor cash surpluses and shortages according to policy
- Submit daily cash-up reports to Regional Banking Clerk
Supplier & Client Communication
- Maintain strong relationships with internal and external stakeholders
- Communicate regularly with suppliers regarding invoices, credit notes, and discrepancies
- Resolve queries efficiently and professionally
