Key Performance Areas (KPAs)
As an Admin Clerk / Receptionist at Lancet Laboratories, your day-to-day responsibilities will include:
- Sample Administration: Administering the sorting and distribution of samples according to set standard operating procedures (SOPs) to ensure correct and prioritized channeling of specimens to various laboratories/sites.
- Registration & Data Entry: Processing sample registration (“logging”) and queries according to set standard operating procedures.
- Dispatch Management: Ensuring the dispatching of specimens for processing in accordance with prescribed standard operating procedures; monitoring progress and filing reports, including handling queries and report delivery within the prescribed turnaround time.
- Hospital Rounds: Performing hospital rounds to distribute reports and collect submitted samples for processing in accordance with relevant standard operating procedures.
- Customer Service & Queries: Handling and referring administrative queries and customer complaints to ensure timely resolution and responses.
- Logistics Tracking: Tracking the progress of sample delivery by couriers to ensure specimens are received by the designated laboratory, processed, and results returned timeously in compliance with SOPs.
- Process Improvement: Investigating bottlenecks in pre-analytical laboratory processes and ensuring timely resolution of challenges.
- Housekeeping: Ensuring basic housekeeping in own working area, including suitable cleaning and preparation of equipment according to set standard operating procedures.
- Inventory Control: Monitoring stock levels and ordering additional stock to ensure the availability of required materials at all times, as well as ensuring delivery of stock to doctors’ rooms.
- Professional Representation: Representing the organization by applying the principles of customer care in the medical pathology field; interacting professionally and ethically with medical professionals and staff.
- Front Desk & Reception Management: Managing the reception area, providing relevant information, and directing clients to relevant departments while delivering excellent customer service.
- Financial Administration: Receiving cash from patients and ensuring the banking of monies in accordance with relevant standard operating procedures.
- Incident Logging: Reporting incidents, logging customer complaints and problem solutions, and reading documents and actioning tasks on the laboratory information management system in compliance with organizational policy.
- Scanning & Archiving: Preparing and scanning patient forms onto the laboratory scanning system (Oculas) and resolving scanning incompletes according to set standard operating procedures.
- Compliance: Adhering to Lancet uniform protocols as set out in standard operating procedures.
