is recruiting a Quality Administrative Support Clerk at , reporting directly to the Quality Manager. This role plays a key part in maintaining high standards of patient care, compliance, and operational efficiency through strong administrative and quality support.


Role Purpose

Provide end-to-end administrative and coordination support to the Quality Department, ensuring compliance with hospital standards, regulatory requirements, and continuous quality improvement initiatives.


Key Responsibilities

1. Quality & Administrative Support

  • Support implementation and maintenance of Quality Management Systems (QMS) and Environmental Management Systems (EMS)
  • Capture, analyze, and compile data for quality reports and audits
  • Maintain accurate records, registers, and filing systems (manual & electronic)
  • Prepare reports, presentations, and dashboards for management review
  • Coordinate internal communication across departments on quality matters

2. Meetings, Training & Coordination

  • Schedule and coordinate quality meetings, audits, and workshops
  • Take accurate minutes for Health & Safety and other meetings
  • Assist in organizing quality, legal, and compliance training sessions
  • Track attendance, training records, and follow-ups

3. Audits & Compliance

  • Assist in planning and coordinating internal and external audits
  • Ensure documentation is audit-ready and compliant with standards
  • Support corrective action tracking and follow-up on audit findings

4. Document Control

  • Manage and maintain an effective document control system
  • Ensure all policies, procedures, and forms are updated, approved, and accessible
  • Monitor compliance with document control standards across departments

5. Incident & Quality Improvement Support

  • Assist with incident reporting and investigations
  • Track and report on quality improvement initiatives
  • Support root cause analysis and corrective/preventive actions

6. COID (Compensation for Occupational Injuries & Diseases)

  • Compile and submit COID documentation
  • Follow up on submitted claims and related accounts
  • Liaise with relevant stakeholders to ensure timely processing

Minimum Requirements

  • Grade 12 (Matric)
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Administrative experience (preferably in healthcare or compliance)
  • Good communication and interpersonal skills
  • Ability to work independently and meet deadlines

Advantageous

  • Knowledge of medical terminology and hospital procedures
  • Experience in ISO 9001 / Quality Management Systems / OHS
  • Secretarial or administrative qualification
  • Exposure to audit processes or compliance environments
