Job Purpose

The Ward Clerk/Stock Controller is responsible for supporting the clinical team by ensuring that administrative functions, patient billing, and inventory management are completed accurately and efficiently. The role also involves coordinating meetings, managing ward documentation, maintaining records, and controlling high-value medical stock.

Key Responsibilities

The successful candidate will be expected to:

  • Coordinate all administrative activities within the Cardiac Ward.
  • Support the Unit Manager with day-to-day administrative functions.
  • Maintain appointment schedules, calendars, and meeting arrangements.
  • Organise visits from suppliers and external representatives.
  • Manage ward filing systems and confidential documentation.
  • Ensure accurate patient admission and billing administration.
  • Complete trauma billing within required timeframes.
  • Control, manage, and reconcile consignment stock.
  • Liaise with medical representatives regarding stock usage and replenishment.
  • Monitor stock levels and prevent shortages.
  • Order medical and office supplies when required.
  • Maintain accurate inventory records.
  • Perform secretarial duties.
  • Answer telephone calls professionally and direct enquiries appropriately.
  • Ensure all documentation complies with hospital policies and procedures.
  • Work accurately with high-value surgical and ethical stock.
  • Assist with general administrative duties as required.

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric).
  • A minimum of 2 years’ experience in administration or stock control.
  • Previous experience in a private hospital environment (advantageous).
  • Strong computer skills, including:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
    • Microsoft Outlook
    • Email applications
  • Knowledge of hospital systems such as Impilo and SAP will be advantageous.
  • Customer service experience.
  • Excellent verbal and written communication skills.
