Minimum Requirements

Applicants should meet the following requirements:

  • Grade 10 or an equivalent qualification.
  • Alternatively, ABET Level 4.
  • 0–2 years of relevant working experience.
  • Previous exposure to a Registry unit will be an advantage.
  • Knowledge of filing systems and file plans.
  • Knowledge of records management prescripts.
  • Understanding of departmental policies and procedures.
  • General knowledge of Registry duties and practices.
  • Ability to capture and maintain data accurately.
  • Ability to operate standard office equipment and computers.
  • Ability to collect and maintain statistics.
  • Knowledge of Registry operations will be an added advantage.
  • Understanding of the legislative framework governing the Public Service.
  • Computer literacy, particularly in Microsoft Word, Excel and PowerPoint.

Duties and Responsibilities

The Registry Operator will be responsible for supporting the effective administration and operation of the Registry office.

Key responsibilities include:

Records and Filing

  • Maintain the filing system and file plan.
  • Retrieve files and records when required.
  • Process records for archiving and disposal.
  • Retrieve and dispose of absolute records and files.
  • Assist with maintaining proper records management procedures.
  • Participate in bi-annual file plan workshops.
  • Ensure Registry records are properly managed and safeguarded.

Mail and Document Administration

  • Stamp outgoing mail.
  • Stamp mandates received from the central office.
  • Fetch mail from the Post Office.
  • Electronically distribute circular letters, circular minutes and memorandums.
  • Copy documents received from different units.
  • Process documents in accordance with Registry procedures.

Office Equipment

  • Operate office machines relating to Registry functions.
  • Operate the franking machine.
  • Ensure that sufficient funds are available for the franking machine.
  • Report faulty photocopying machines immediately.
  • Assist with the control and management of toner supplies.

Administrative Support

  • Receive and control orders within the allocated area.
  • Assist with the implementation of applicable control measures.
  • Capture data and assist with collecting statistics.
  • Maintain confidentiality within the Registry office.
  • Perform general administrative duties.
  • Carry out additional duties assigned by the supervisor or manager.

Z83 and CV Requirements

Applicants must ensure that the new Z83 form is:
