Job Purpose

The Van Sheet Clerk is responsible for ensuring the accurate processing of driver van sheets, sales transactions, proof of delivery (POD) documentation, credit notes, and stock records. The role plays a vital part in maintaining accurate financial records and supporting efficient depot operations.

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric) with Mathematics and Accounting
  • 2–3 years of experience in financial or administrative roles
  • Computer literacy, particularly in Syspro and Microsoft Excel
  • Good written and spoken English
  • Strong numerical and analytical skills

Key Responsibilities

The successful candidate will:

  • Process daily driver van sheets and financial documents
  • Capture stock in van, write-offs, credit notes, returns, invoices, and extra loads
  • Complete previous day’s processing before 10:00 each morning
  • Assist drivers with reconciliation queries
  • Process bulk and formal trade customer orders
  • Verify customer orders against daily checklists
  • Ensure driver payments are correctly processed
  • Report pricing discrepancies immediately
  • Follow up on outstanding Proof of Delivery (POD) documents
  • Update POD records in Syspro
  • Verify signed and stamped POD documentation
  • Scan and process customer claims using Capisol
  • Match claims with relevant credit notes
  • Process driver changes and submit supporting documentation
  • Maintain accurate financial and operational records
