Purpose of the Role

The Clerk (HRD) will provide critical administrative support to the Human Resources Development Department. The successful candidate will assist with training administration, employee development records, SAP data management, compliance documentation, and general departmental support to ensure training activities run efficiently and meet organizational standards.

This role requires a highly organized individual who can manage confidential information, maintain accurate records, coordinate training activities, and support continuous employee development initiatives.

Key Duties and Responsibilities

Human Resources Development Administration

  • Administer daily HRD and training-related activities.
  • Assist with implementing employee training and development initiatives.
  • Support compliance with workplace training and development requirements.
  • Ensure all employee training information is accurately documented.

SAP Training Records Management

  • Capture and update employee and contractor training records on SAP.
  • Verify the accuracy of training information before processing.
  • Maintain qualification, competency, and certification records.
  • Generate reports and training records when required.

Training Coordination

  • Schedule training sessions and development programmes.
  • Coordinate venues, trainers, attendees, and training logistics.
  • Prepare attendance registers and training documentation.
  • Monitor training participation and completion rates.

Documentation and Compliance

  • Maintain electronic and hard-copy training files.
  • Ensure documentation is complete and audit-ready.
  • Assist with ISO compliance requirements relating to training records.
  • Organize and archive employee development documents.

Procurement and Administrative Support

  • Process training-related purchase requisitions.
  • Assist with purchase orders and supplier administration.
  • Monitor training expenditure documentation.
  • Support departmental budgeting processes where required.

Office and Reception Support

  • Receive and direct visitors to the HRD department.
  • Answer telephone enquiries professionally.
  • Handle incoming and outgoing correspondence.
  • Provide general administrative support to HRD personnel.

Minimum Requirements

Educational Requirements

Essential

  • Grade 12 / National Senior Certificate (NQF Level 4).

Advantageous

  • Certificate in OD-ETDP.
  • Office Administration Certificate.
  • Human Resources Administration qualification.
  • Training and Development qualification.
  • Related business administration certification.

Experience Requirements
