Job Purpose

The Administrator: HC Operations is responsible for providing day-to-day administrative, operational and technical support to the Human Capital (HC) department.

Key Responsibilities

Human Capital Operations Support

  • Coordinate interview logistics, including venues, schedules and panel arrangements.
  • Prepare job offer letters and submit them to the Senior Officer.
  • Coordinate benefits administration changes and payroll inputs.
  • Monitor the e-recruitment system and ensure required documentation is uploaded.
  • Coordinate packs for new employees and terminations.
  • Coordinate induction and orientation sessions for new employees.

Compliance Administration

  • Administer applicable standards, processes and procedures.
  • Maintain version control of departmental documentation.
  • Ensure compliance with policies and process standards.
  • Keep up to date with internal standards and business objectives.
  • Handle first-line employee queries and escalate matters where necessary.

Office Coordination

  • Maintain strict confidentiality regarding departmental matters.
  • Follow up on outstanding matters and escalate where required.
  • Ensure office requests are handled within required timelines.
  • Compile and distribute relevant statistics and reports.
  • Coordinate operational office activities to support departmental efficiency and compliance.

Document Control

  • Maintain an up-to-date and functional filing system.
  • Retrieve information when requested.
  • Maintain confidentiality of controlled documents.
  • Record and file received documentation appropriately.
  • Maintain records of files, correspondence and registers.

Minimum Qualifications

Applicants must have:

  • A National Diploma in Human Resource Management or a related qualification.

Required Experience

  • At least 2 years’ relevant experience in a similar Human Capital Operations environment.
