Old Mutual is currently recruiting a Senior Administration Specialist to join its team in Pinelands. This position is suited to an experienced financial services professional with strong administration, compliance, client servicing and technical processing capabilities.
Senior Administration Specialist Job Description
The Senior Administration Specialist will use expert knowledge of administration, products, processes, compliance and regulations to resolve technical and complex issues. The successful candidate will serve as a subject matter expert and escalation point while ensuring that client instructions and administrative queries are handled accurately and efficiently.
The role also involves supporting internal stakeholders, contributing to projects and system enhancements, and helping improve administrative processes and the overall Adviser and Client experience.
Key Responsibilities
Administration and Client Services
- Act as a subject matter expert in a specific administration, product, process, compliance or regulatory area.
- Resolve complex administrative and technical queries.
- Serve as an escalation point for internal stakeholders.
- Ensure first-time resolution of client queries.
- Process client instructions relating to individuals, trusts and corporates.
- Maintain daily processes and clear workflow queues.
- Communicate professionally with clients, Financial Advisers and internal stakeholders.
- Provide expert input into system enhancements and testing.
- Contribute to major projects where required.
- Coach Specialist staff when required.
Compliance and Client Due Diligence
The successful candidate will be responsible for activities relating to client risk and regulatory requirements, including:
- Conducting Client Risk Assessments in accordance with AML and FATCA regulations.
- Performing client identification and verification for Financial Intermediary relationships.
- Verifying individuals, entities and trusts across different jurisdictions.
- Conducting Client Due Diligence in accordance with FICA requirements.
- Remediating client information following relevant trigger events.
- Identifying anomalies and resolving complex client and data-related issues.

Quality Assurance

Requirements
Applicants should meet the following requirements:
- Matric / Grade 12 is essential.
- A tertiary qualification will be advantageous.
- At least 5 years’ experience in financial services, particularly in client engagement and technical processing or administration.
- Strong understanding of offshore investments and AML/compliance programmes.
- Sound knowledge of Old Mutual International products.
- Thorough understanding of different entity structures and their requirements.
- Strong knowledge of AML, FATCA and FICA requirements.
- Advanced working knowledge of Microsoft Excel and Word.
- Excellent communication skills.
- Strong organisational and planning abilities.
- Ability to work independently.
- Strong attention to detail.
- Ability to manage multiple priorities and meet critical deadlines.

Education
The minimum educational requirement is NQF Level 4 / Grade 12 / School Leaving Certificate / National or Occupational Certificate or equivalent.
