About the Role
The Patient Scheduling Clerk plays an important role in the hospital’s Patient Administration Department by coordinating operating theatre bookings and ensuring that theatre schedules, ward allocations, and patient admissions are completed accurately. Proper scheduling helps improve patient care, minimise delays, maximise theatre utilisation, and reduce operational costs.
Main Duties and Responsibilities
The successful candidate will:
- Schedule all theatre procedures according to hospital policies and surgeon requirements.
- Ensure operating theatres are utilised efficiently throughout the day.
- Coordinate surgery bookings with surgeons, theatre staff, nursing teams, and hospital departments.
- Capture all patient bookings accurately on the hospital information system.
- Allocate patients to the correct wards and available hospital beds.
- Prepare, update, and distribute daily theatre lists to all relevant departments.
- Confirm patient booking information before scheduled procedures.
- Ensure patient demographic and medical information is captured correctly.
- Monitor booking changes, cancellations, and emergency theatre cases.
- Maintain accurate electronic and manual scheduling records.
- Communicate schedule updates promptly to all stakeholders.
- Assist with administrative duties within the Patient Administration Department.
- Protect patient confidentiality and comply with hospital policies.
- Support efficient patient flow from admission through surgery.
Minimum Requirements
Essential Qualifications
- Grade 12 (Matric) or equivalent.
Preferred Qualifications
- No additional qualification required, although healthcare administration training will be advantageous.
Experience Required
Essential
- Experience working with computers.
- Experience performing administrative tasks.
