AFGRI, one of South Africa’s leading agricultural services companies, is recruiting an experienced Administration Clerk (Retail) to join its Grootvlei branch. The successful candidate will provide administrative support, manage stock documentation, process invoices and claims, perform cash administration, and ensure accurate record keeping to support efficient branch operations.
About the Role
This position plays a vital role in ensuring that all branch administration, stock records, supplier documentation, and financial processes are completed accurately and on time. The successful applicant will work closely with suppliers, branch staff, and management to maintain efficient daily operations while delivering excellent internal customer service.
Minimum Requirements
- Grade 12 (Matric)
- Minimum of 1 year administration experience
- Computer literacy (Microsoft Office)
- Good verbal and written communication skills
- Good numerical skills
- High level of accuracy and attention to detail
Key Responsibilities
Stock Administration
- Receive stock and compare deliveries with delivery notes.
- Verify stock quantities and product information.
- File delivery notes correctly.
- Assist with receiving duties when required.
- Ensure all stock documents are processed accurately.
- Maintain correct document numbering on the system.
- Match invoices with delivery notes and purchase orders.
Claims Administration
- Capture warranty claims.
- Process damaged stock claims.
- Handle shortages and surplus deliveries.
- Process expired stock claims.
- Follow up on outstanding supplier claims.
- Maintain complete records of all claims.
Supplier Administration
- Communicate with suppliers regarding:
- Outstanding invoices
- Credit notes
- Delivery discrepancies
- Stock queries
- Ensure supplier documentation is complete and accurate.

Reporting
Generate and maintain reports including:
- Outstanding claims reports
- Outstanding purchase order reports
- Negative stock reports
- Stock variance reports
- Daily operational reports
- Weekly reports
- Monthly reports
- Quarterly stock-taking reports
Stock Control
- Assist with quarterly stock counts.
- Capture stock count sheets.
- Generate stock variance reports.
- Report stock discrepancies to management.
- Ensure stock records remain accurate.
Cash Administration
- Perform daily cash-ups.
- Record daily balances.
- Process shortages and surpluses according to company policy.
- Report cash discrepancies to the Regional Banking Clerk.
- Maintain accurate cash records.
Customer Service
- Build professional relationships with internal departments.
- Assist external customers and suppliers.
- Resolve administrative queries promptly.
- Provide efficient support to branch operations.
