Job Purpose

The Office Administrator will provide comprehensive administrative, financial and operational support to the Regional Manager while coordinating administrative functions across the Free State and North West regional offices. The successful candidate will ensure efficient office operations, compliance with organisational policies, governance requirements and business continuity.

Key Responsibilities

  • Coordinate administration across regional offices.
  • Provide operational support to the Regional Manager.
  • Coordinate procurement processes and contract administration.
  • Assist with regional budget planning and expenditure monitoring.
  • Administer petty cash and perform reconciliations.
  • Maintain governance, audit and risk management documentation.
  • Support business continuity and records management activities.
  • Prepare reports, presentations and management documentation.
  • Coordinate meetings, travel arrangements and training logistics.
  • Manage fleet administration and regional resource coordination.
  • Support Occupational Health and Safety (OHS) compliance.
  • Assist with Quality Management System implementation.
  • Maintain professional relationships with internal and external stakeholders.
  • Identify opportunities to improve administrative efficiency and reduce operational costs.

Minimum Requirements

  • National Diploma (NQF Level 6) in:
    • Business Administration
    • Public Administration
    • Office Administration/Management
    • Business Management
    • Financial Management
    • Or an equivalent relevant qualification.
  • Valid Code B (or higher) driver’s licence.
  • Minimum of 3 years’ relevant experience in:
    • Office administration
    • Financial administration
    • Procurement coordination
    • Contract administration
    • Governance support
    • Records management
    • Stakeholder coordination
    • Logistical and operational support

Skills and Competencies

  • Excellent organisational and planning skills.
  • Strong communication and interpersonal abilities.
  • Financial administration and budgeting knowledge.
  • Procurement and contract administration experience.
  • Report writing and document management.
  • Computer literacy, including Microsoft Office.
  • Ability to multitask and meet deadlines.
  • High level of professionalism, confidentiality and attention to detail.
