About the Role

The Warehouse Administrator will provide essential administrative support to the warehouse operation. The successful candidate will manage documentation, payroll administration, reporting, health and safety records, fleet administration, supplier communication, and general office duties to ensure the warehouse runs efficiently.

Key Responsibilities

The successful candidate will be responsible for:

  • Performing general warehouse administration duties
  • Checking and sorting freight invoices, waybills, and PODs
  • Matching invoices with supplier statements for monthly payment
  • Processing leave and sick leave documentation for payroll
  • Managing the biometric time and attendance system
  • Monitoring employee clockings, overtime, and attendance records
  • Compiling daily overtime reports
  • Taking meeting minutes and preparing reports
  • Typing letters, reports, agendas, and official correspondence
  • Maintaining organised filing systems and records
  • Answering and directing telephone calls
  • Assisting with monthly Gemba Dashboard reporting
  • Updating Occupational Health and Safety (OHS) files
  • Monitoring licence expiry dates
  • Submitting weekly inbound spreadsheets
  • Overseeing fleet and warehouse administration
  • Requesting quotations from service providers
  • Preparing monthly reports for the Warehouse Manager
  • Processing death and dismissal claims
  • Coordinating health and safety administration
  • Assisting with site audits, fire drills, and first aid compliance
  • Managing health and safety procedures and documentation
  • Monitoring daily housekeeping checklists
  • Ordering uniforms for new employees

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric)
  • Minimum of 3 years’ experience in general office administration
  • Strong organisational and administrative skills
  • Good numerical and calculation abilities
  • Computer literacy in MS Word, Excel, Outlook, and related software
  • Knowledge of biometric systems (advantageous)
  • Good communication and interpersonal skills
  • Ability to work independently and within a team
  • Professional, reliable, trustworthy, and accurate work ethic
  • Ability to work under pressure and meet deadlines
  • Good time management skills
  • Clear ITC and criminal record
