Main Purpose of the Role

The Warranty Clerk is responsible for providing administrative support by processing vehicle warranty claims and service costing accurately and within required deadlines. The role ensures warranty procedures comply with Kia and company standards while helping the dealership recover warranty costs efficiently.

Key Responsibilities

Your daily duties will include:

  • Processing vehicle warranty claims accurately and on time.
  • Preparing, checking, and submitting warranty documentation.
  • Performing service costing and invoicing functions.
  • Ensuring warranty claims comply with manufacturer guidelines.
  • Maintaining accurate warranty and service records.
  • Capturing and updating customer and vehicle information.
  • Monitoring outstanding warranty claims.
  • Following governance, compliance, and dealership procedures.
  • Producing reports for management when required.
  • Identifying operational issues and escalating unresolved matters.
  • Delivering excellent customer service to both internal and external customers.
  • Communicating professionally with technicians, service advisors, suppliers, and customers.
  • Participating in company training programmes.
  • Maintaining confidentiality of company and customer information.

Minimum Requirements

Applicants should have:

  • Higher Certificate or Advanced National Senior (Vocational) Certificate (NQF Level 4).
  • At least 1 year of Warranty Clerk experience.
  • Minimum 2 years of workshop or dealership experience.
  • Knowledge of automotive warranty processes.
  • Understanding of industry legislation and compliance.
  • Good computer literacy and administrative skills.

Preferred Knowledge

Candidates with experience using dealership management systems such as:

  • Automate

  • Drive
  • Evolve
  • Similar dealership software
