Job Purpose
The successful candidate will be responsible for managing records, digitising and archiving documentation, maintaining document quality standards, supporting SAP DMS processes, and ensuring compliance with records retention requirements. The role also provides support, training, and guidance to departments regarding records and document management.
Key Responsibilities
Records Management
- Classify, code, store, and retrieve records.
- Digitise records and maintain metadata.
- Archive and process records according to retention schedules.
- Perform quality checks on digitised records.
- Retrieve documentation within required turnaround times.
Document Control
- Format and quality-check policies and procedures.
- Support document authors with SAP DMS queries.
- Distribute approved documents to staff.
- Monitor document approval workflows.
- Perform user testing and manage document changes.
Stakeholder Support
- Coordinate internal and external document requests.
- Liaise with archiving service providers.
- Support audits and compliance activities.
- Maintain proof-of-destruction records.
- Educate stakeholders on records management processes.
Administrative Duties
- Maintain secure access lists.
- Compile monthly reports and statistics.
- Monitor records management system exceptions.

Minimum Requirements
Education
- Matric / Grade 12
- Administrative or Enterprise Information Management Certificate
Experience
- Minimum 1 year experience in a similar records administration role
- Intermediate Microsoft Office skills
