About the Role

The successful candidate will be responsible for designing, implementing, and managing SANBS’ national document and records management systems.

The role focuses on:

  • Policy and procedure lifecycle management
  • Compliance with ISO, SANAS, GMP, GLP, and legislative requirements
  • Managing physical and electronic records systems
  • Developing quality management processes
  • Leading teams and ensuring operational efficiency
  • Supporting accreditation and regulatory compliance across SANBS

The manager will also work closely with ICT, procurement, legal teams, and various internal stakeholders to improve document control and records governance systems nationally.


Key Responsibilities

Strategic & Operational Management

  • Develop and manage 5-year business plans
  • Compile annual operational and manpower plans
  • Manage departmental budgets (CAPEX & OPEX)
  • Monitor operational performance and reporting
  • Oversee procurement planning and contract management
  • Implement continuous improvement strategies

Document & Records Management

  • Design and implement document management systems
  • Maintain secure physical and electronic records
  • Manage document retention and confidential destruction
  • Develop policies, SOPs, workflows, and procedures
  • Maintain the SANBS policy register
  • Ensure compliance with national accreditation standards

Compliance & Quality Assurance

  • Ensure alignment with SANAS, ISO, and SAHPRA standards
  • Conduct gap analyses and quality reviews
  • Support quality management system implementation
  • Identify and mitigate operational risks
  • Participate in national policy and standards initiatives

Leadership & Team Management

  • Lead and manage the document and records team
  • Conduct performance management and coaching
  • Handle recruitment, training, and employee development
  • Manage disciplinary matters and employee relations
  • Develop succession plans within the department

Training & Research

  • Develop training programmes on records management
  • Support national induction and quality training initiatives
  • Conduct research on industry best practices
  • Participate in national and international working groups

Minimum Requirements

Qualifications

  • Biomedical Science qualification
  • Applicable professional registration
  • Management qualification
  • Quality qualification (advantageous)

Experience

  • Minimum 3 years in a medical or blood transfusion laboratory
  • Minimum 3 years in quality systems implementation
  • Minimum 3 years management experience
