About the Role
The Administrator: Service Advisor (Non-Technical) will be responsible for supporting workshop operations, customer communication, vehicle administration, service coordination, and ensuring efficient workflow between technicians, foremen, and clients.
The role requires someone who can work under pressure, maintain high service standards, and ensure customer satisfaction throughout the service process.
Main Duties and Responsibilities
Workshop & Service Coordination
- Coordinate workflow within the service department
- Liaise between technicians, foremen, service advisors, and customers
- Monitor workshop activities and turnaround times
- Ensure workshop opening and closing procedures are completed daily
- Ensure the workshop and yard remain secure at all times
Customer Service
- Update customers regarding service bookings and vehicle progress
- Handle customer queries professionally and efficiently
- Ensure vehicles with complaints are inspected or test-driven before customer collection
- Maintain strong customer relationships and service standards
Vehicle & Job Card Administration
- Book in customer vehicles for servicing and repairs
- Ensure all job cards are properly completed and signed
- Follow up on quotations and approvals
- Prepare quotations for authorization
- Assist with costing and workshop documentation

Parts & Workshop Support
- Follow up on ordered parts for workshop repairs
- Ensure parts are ordered according to company procedures
- Assist technicians and workshop staff with administrative support
- Help maintain cleanliness and safety in the workshop environment
Sales & Additional Services
- Promote accessories and additional workshop services
- Identify upselling opportunities
- Follow up on outstanding quotations and incomplete sales
Minimum Requirements
Candidates applying for this role should meet the following criteria:
Educational Requirements
- Grade 12 / Matric certificate
- NQF Level 4 qualification equivalent
Experience Requirements
- Minimum of 3 years’ experience as a Service Advisor
- Previous experience within the motor industry is advantageous
- Experience with Mercedes-Benz and Fuso trucks will be beneficial
