About the Role

Provide comprehensive and efficient administrative support to the Maintenance Department, ensuring smooth operations, effective document control, and a safe working environment.


Key Responsibilities

  • Documentation & Filing
    • Type and manage documents, memos, and letters
    • Maintain efficient filing and records (including deviations)
    • Administer incoming and outgoing mail
  • Office & Diary Support
    • Book meetings, take minutes, and manage diaries
    • Professional telephone handling and message taking
    • Conference room bookings and readiness
  • Reporting & Administration
    • Compile monthly reports, memorandums, and departmental reports
    • Assist managers with Management Committee documents and submissions
    • Record and submit overtime sheets
  • Logistics & Coordination
    • Arrange travel (transport, accommodation, etc.)
    • Manage access and preparations for external visitors
    • Organise team-building sessions and departmental functions
  • Procurement & Assets
    • Maintain stationery and consumable stock levels
    • Order, receive, and control consumables
    • Create purchase requisitions on the workflow system
    • Daily printer maintenance
  • Compliance & Training
    • Ensure departmental Lebo observations are submitted
    • Assist with booking safety training and maintaining training matrix
  • General
    • Perform additional duties as required to support departmental operations and sustainability


Requirements

Minimum Qualifications & Experience

  • N6 or Diploma in Administration / Secretarial
  • 1–3 years’ experience in an administration/secretarial role
  • Proficiency in Microsoft Office

Key Knowledge & Skills

  • Strong administrative support capability
  • Awareness of safety requirements in the workplace
  • Organised, detail-oriented, and able to multitask
