Job Purpose
The Personal Assistant will provide comprehensive executive and administrative support to the Divisional Head and senior management within the National Payment System division. The successful candidate will coordinate executive schedules, manage confidential information, prepare official documentation and ensure the smooth running of daily administrative operations.
This position requires an organised, proactive and highly professional individual capable of working with senior executives while maintaining the highest levels of confidentiality and attention to detail.
Key Responsibilities
The successful candidate will:
- Manage executive calendars, appointments and daily schedules.
- Coordinate domestic travel arrangements and logistics.
- Organise meetings, workshops and executive events.
- Ensure committee submissions are completed accurately and submitted before deadlines.
- Receive, screen and redirect incoming telephone calls professionally.
- Respond to routine enquiries using sound judgement.
- Prepare executive correspondence, reports, presentations and briefing documents.
- Edit business documents for grammar, formatting and accuracy.
- Conduct basic research and information gathering when preparing reports.
- Register and maintain all incoming and outgoing correspondence according to SARB’s File Plan.
- Maintain electronic and manual filing systems.
- Develop and maintain departmental contact databases.
- Coordinate project information on behalf of senior management.
- Improve administrative systems and office procedures.
- Build strong working relationships with internal and external stakeholders.
- Distribute official memorandums, circulars and departmental communications.
- Maintain absolute confidentiality regarding sensitive organisational information.
- Perform additional administrative duties as requested by management.
Minimum Requirements
Applicants must possess:
- Grade 12 (Matric).
- Secretarial Diploma or equivalent qualification at NQF Level 5.
- Minimum of five years’ experience providing executive or corporate personal assistant support.
