Discovery is Hiring a Fund Coordinator

Discovery Health is recruiting an experienced Fund Coordinator to join its InHouse Division on a fixed-term contract supporting the Bankmed medical scheme. This role is ideal for candidates with strong governance, administration, stakeholder management, and medical scheme experience.

The successful candidate will work closely with the Fund Manager, Principal Officer, Trustees, and internal stakeholders to coordinate governance meetings, regulatory compliance, reporting, communications, audits, and special projects.

Key Responsibilities

Governance & Secretariat Support

  • Coordinate Board of Trustees, Audit Committee, Operations Committee, AGM, and other governance meetings.
  • Prepare agendas, meeting packs, and supporting documentation.
  • Attend meetings and record accurate minutes.
  • Track action items and ensure deadlines are met.
  • Maintain governance records and documentation.
  • Coordinate workshops and governance forums.

Administration & Regulatory Coordination

  • Prepare and distribute official scheme communications.
  • Maintain electronic and manual filing systems.
  • Coordinate regulatory submissions and compliance requirements.
  • Assist with annual returns and external audits.
  • Maintain registers for mandates, policies, contracts, and certificates.
  • Liaise with the Council for Medical Schemes.

Stakeholder Management

  • Support Trustees, Principal Officers, Fund Managers, and internal departments.
  • Manage escalated queries and provide timely resolutions.
  • Monitor stakeholder communications and ensure follow-up actions.

Communication Coordination

  • Draft and review member and scheme communications.
  • Ensure compliance with regulatory and marketing processes.
  • Coordinate communication projects and deadlines.

Reporting & Data Management

  • Prepare monthly and quarterly reports.
  • Manage data extraction, formatting, and quality assurance.
  • Coordinate AGM membership data.
  • Resolve reporting discrepancies.
  • Support Power BI dashboard escalations.

Project Coordination

  • Assist with Annual General Meeting (AGM) planning.
  • Coordinate year-end projects.
  • Support internal and external audits.
  • Monitor project timelines and regulatory deliverables.
  • Coordinate internal workshops and stakeholder meetings.

Minimum Requirements

  • Grade 12 (Matric).
  • Relevant Business Administration or Secretarial qualification is advantageous.
  • Bankmed experience is essential.
  • 3–5 years of experience in:
    • Fund coordination
    • Governance support
    • Medical scheme administration
    • Scheme office support
  • Experience in healthcare administration is advantageous.
  • Strong administrative and project coordination skills.
  • Ability to manage multiple priorities simultaneously.
