About the Role
The successful candidate will take ownership of the finance and administrative operations for a medical practice operating across two Northern Suburbs branches. The role includes managing debtors and creditors, daily financial reconciliations, procurement processes, stock control, and providing dedicated executive support to the Director.
This position also requires occasional reception and patient support during busy operational periods.
Key Responsibilities
Financial Management
- Maintain accurate financial records up to Trial Balance
- Manage accounts payable and accounts receivable
- Ensure financial compliance and accurate bookkeeping
Reconciliations & Financial Entries
- Process daily financial transactions
- Conduct daily and monthly bank reconciliations for both branches

Debtors & Creditors Administration
- Manage the full debtors cycle
- Follow up on outstanding payments and collections
- Resolve patient account queries professionally
- Ensure creditors are paid accurately and on time
Inventory & Procurement
- Process supplier invoices from local and international suppliers
- Update stock systems and records
- Assist with biannual stocktakes and ledger corrections
- Order specialised optical lenses, frames, and equipment
Executive & Administrative Support
- Provide dedicated PA support to the Director
- Manage correspondence and communications
- Coordinate meetings and travel arrangements
- Assist with general practice administration
Reception & Operational Support
- Provide reception relief during peak patient periods
- Support smooth day-to-day operations across both branches
Minimum Requirements
Experience
- Minimum 4 years’ experience in:
- Bookkeeping
- Senior Accounts Assistant roles
- Finance administration
Education
- Matric certificate required
- Finance or Office Administration qualification advantageous
Technical Skills
- Strong debtors and creditors experience
- Bank reconciliation experience essential
- Computer literacy required
Software Requirements
- Pastel Accounting (Essential)

Language Requirements
- Fluent in English and Afrikaans
Additional Requirements
- Valid driver’s licence

Work Schedule & Branch Locations
Branch Allocation
- Kuilsriver Branch: Tuesday, Thursday, Friday
- Eersteriver Branch: Monday, Wednesday
Working Hours
- Monday to Friday: 08:00 – 17:00
- Rotational Saturdays: 08:00 – 12:00
Employees working Saturday shifts receive four hours off on a Thursday afternoon as part of the time-off policy.
