Job Title: Administrator/Receptionist
Department: Research Unit
Reporting to Location: Ndevana Community Research Site, Eastern Cape
Annual salary range(Depending on relevant experience and qualifications):
- Salary: R169,853 – R230,313 plus 15% rural allowance
Main purpose of the position
To provide a welcoming environment for participants to enrol in clinical trials, and in conjunction with the Principal Investigator and Study Coordinator contributes to the enhanced participant journey/experience within the clinical trial site.
Scope of Work:
- Welcome point of contact for all participants who engage with the clinical trials site. Register participants on site via BCEPS, REDCap and other relevant site-specific documents.
- Make copies of the Identity document as required by the Protocol and confirm with the Age calculator.
- Facilitate participant attendance at the site.
- Administer and document participant reimbursement.
- Engage with clinical staff to ensure the participant journey at the clinical trial site is a positive experience.
- Carry out any other administrative tasks that are reasonable as directed by the management.
- Accept, verify, and refer deliveries to the relevant department.
- Refer participant queries to the relevant department.
- Answer the clinical trial site telephone and redirect to correct department for assistance. Together with the Data team ensure that participant files are correct and up to date, and relevant for daily visits.
- Collect files for daily visits from data team. Call participants as directed by the Pl or Co-investigator.
- Ensure participant meals and tea are available.
- Together with operations, request the required meals for the day based on the diary.

Qualifications:
- Grade 12
- Qualification in office administration (advantageous)
- Project management qualification (advantageous)
Working / Industry experience required:
- Minimum of 1 year experience in administrative work with a customer focus. Experience from an educational/medical/health related environment at a medical doctor’s rooms or clinical research site or in a research environment.
Additional requirements:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Internet). • Proficiency in REDCap.
- Proficiency in reading, speaking, and writing isiXhosa and English. Proficiency in another official language (advantageous).
- Valid Code 8 Driver’s license (advantageous).
