About the Role

A fast-growing skincare company is looking for a reliable and detail-oriented Administrator & Front Office Assistant to support daily order processing, logistics coordination, and front-office operations. This role is ideal for someone who enjoys administration, customer interaction, and working in a structured, fast-paced environment.

You will play a key role in ensuring accurate order fulfilment while being the first point of contact for visitors and customers.


Key Responsibilities

Order Processing & Administration

  • Review and process customer orders received via phone, email, online platforms, stockists, and distributors
  • Book deliveries and create shipments using Shopify (Courier Guy) and Blueline, ensuring cost-effective courier selection
  • Process customer returns and exchanges when required
  • Generate waybills, labels, and reports and print to the correct printers (Toshiba / Epson)
  • Accurately file all documentation, including reports, blue copies, and write-offs
  • Assist with weekly stock takes
  • Double-check products pulled for invoicing accuracy
  • Refill front-office shelves as required

Reception & Customer Service

  • Greet visitors and direct them to the appropriate department
  • Assist walk-in clients with product recommendations and order placement
  • Answer incoming phone calls and handle enquiries professionally
  • Maintain a clean, organised, and welcoming front desk
  • Receive and manage incoming and outgoing deliveries and collections


Requirements

  • Previous experience in administration, order processing, or logistics (preferred)
  • Experience with Shopify, Sage, or similar systems (advantageous)
  • Basic computer literacy (email, document filing, printing)
  • Background in accounting or finance (beneficial but not essential)
  • Previous experience in the beauty or cosmetics industry (beneficial)
