Purpose of the Position

The Transport Administrator will support the efficient operation of the Transport Department by coordinating administrative processes, maintaining accurate records and ensuring that important transport documentation is captured, filed and available when required.

The position also supports fleet and driver administration while helping the department comply with organisational policies, safety requirements and applicable regulatory standards.

Key Responsibilities

Transport Documentation and Records

The successful candidate will be responsible for organising, monitoring and controlling documentation within the Transport Department. Duties include:

  • Ensuring that transport documentation is properly received, captured and filed.
  • Maintaining vehicle checklists and reporting discrepancies.
  • Capturing delivery and collection sheets.
  • Capturing proof of deliveries and delivery documentation.
  • Recording and filing fines.
  • Capturing and filing insurance claims.
  • Maintaining transport SOPs and deviation reports.
  • Filing non-conformances and other relevant transport records.
  • Ensuring paperwork from Dispatch Controllers is submitted correctly to the Administration Controller.

Departmental Administration

The Transport Administrator will also provide general administrative support to the department, including:

  • Answering telephone calls.
  • Organising meetings, workshops and seminars.
  • Taking minutes during departmental and other meetings.
  • Preparing and distributing approved meeting minutes.
  • Assisting with the compilation of business plans, policies, procedures and related documents.
  • Correcting documents and forms when required.
  • Arranging the printing of booklets and training materials.
  • Organising travel arrangements for the Head of Department and relevant staff.
  • Arranging flights, accommodation, itineraries and reimbursement documentation.
  • Performing additional administrative duties as required by the Dispatch Controller.

Fleet Administration

A major part of the position involves accurate administration of the Fleet Management System. Responsibilities include:

  • Capturing all vehicle checklists.
  • Identifying and reporting discrepancies relating to vehicle documentation.
  • Capturing vehicle delivery and collection schedules.
  • Capturing fines.
  • Capturing proof of deliveries and delivery sheets.
  • Filing insurance claims.
  • Reporting missing, incomplete or inconsistent documentation.
  • Maintaining accurate and up-to-date fleet records.

Vehicle and Route Coordination

The position will assist with the physical allocation of vehicles and routes to drivers. This requires effective coordination, accurate record keeping and communication with relevant transport personnel to support smooth daily operations.

Minimum Requirements

Applicants must meet the following requirements:

  • Grade 12 or equivalent qualification.
  • At least 2 years’ experience in an administration, filing and data capturing environment.
  • At least 1 year of experience in order receipt and processing.
  • Computer literacy.
  • Good working knowledge of MS Office.
  • Fluency in English.
  • A valid Code 08 (Code B) driver’s licence.

Advantageous Knowledge and Experience
