About the Opportunity

An exciting remote opportunity is available for an experienced Finance Administrator and Personal Assistant to join a private family office environment. This flexible, part-time role is ideal for a highly organised professional who enjoys combining financial administration, executive support, and household coordination responsibilities.

Working approximately 2–3 hours daily, you will provide essential support in maintaining financial accuracy, coordinating administrative activities, and ensuring the smooth operation of personal and estate-related matters.

Key Responsibilities

Financial Administration & Bookkeeping

  • Maintain accurate financial records and transaction categorisation.
  • Perform regular account reconciliations.
  • Monitor financial activities and ensure clear financial reporting.
  • Assist with accounts payable and accounts receivable processes.

Accounting Coordination

  • Serve as the primary contact for accounting-related matters.
  • Prepare financial documentation for accountants and tax practitioners.
  • Manage invoices and financial records.
  • Coordinate with external accounting professionals.

Personal Assistant Duties

  • Manage diaries, calendars, and appointments.
  • Handle professional and personal correspondence.
  • Coordinate travel arrangements and schedules.
  • Provide ad-hoc administrative support when required.

Household & Estate Administration

  • Coordinate household service providers and contractors.
  • Manage utility accounts and service-related administration.
  • Oversee maintenance schedules for private properties.
  • Assist with estate and household logistics management.

Minimum Requirements

  • Must be permanently based in Cape Town, Western Cape.
  • Minimum 5 years’ experience in finance administration, executive assistance, bookkeeping, or related roles.
  • Previous experience within a family office, HNWI (High-Net-Worth Individual), investment, or financial services environment.
  • Strong bookkeeping and financial administration skills.
  • Excellent organisational and time-management abilities.
  • High level of discretion and confidentiality.
  • Ability to work independently with minimal supervision.
  • Relevant qualification or certification in Administration, Bookkeeping, Finance, or a related field.
  • Experience managing household logistics or estate administration will be advantageous.
